Privacy

The short version

• We don't sell your data, or your customers' data, to anyone.
• Your customer records belong to you. We hold them so the software works.
• We use them to run SmartBarnOS for you — not to market to your customers.
• Every builder's data is isolated at the database level, not just in the app.

Information about you

When you set up an account we collect your name, company name, email address, and the plan you chose. Payment is handled by Stripe — card numbers never reach our servers and we never see them. We also record ordinary usage information: which pages you opened, when, and any errors the software hit.

Information about your customers

The leads, contacts, jobs, photos, invoices and messages you put into SmartBarnOS are yours. For that information you are the data controller and we are your processor: we hold and handle it on your instructions, to provide the service, and for nothing else. We do not contact your customers on our own behalf, and we do not use their details to market anything.

If you connect a mailbox, we only file messages that involve a contact already in your account. Everything else in your inbox is read past and not stored.

Phone numbers and text messages

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Mobile numbers, and the record of who agreed to be texted, are used only to send the messages a builder's customer asked for — appointment confirmations, progress on their building, an invoice or an agreement being ready.

Numbers are shared only with the companies that carry the message: our messaging provider, Twilio, and the recipient's own mobile carrier. They are not sold, rented, or passed to anyone else, and they are never used to market SmartBarnOS to a builder's customers.

Anyone can stop the messages by replying STOP, and we keep a record that they did so — which is what stops them being texted again. Replying HELP reaches a person. The full text message terms set this out in detail.

Who else touches it

SmartBarnOS is built on other companies' infrastructure. These are the only third parties that process data on our behalf:

• Supabase — database, sign-in and file storage (United States).
• Vercel — application hosting (United States).
• Stripe — subscription payments and card handling.
• Anthropic — powers the BarnBoss assistant. When you ask it a question, the relevant business context is sent to Anthropic to generate a reply. It is not used to train their models.
• Resend and Mailgun — sending and receiving email.
• Intuit (QuickBooks), IdeaRoom and SmartBuild — only if you connect them, and only the records needed for that integration.

How it's protected

Each builder's data is separated by row-level security in the database itself, so one account cannot read another's even if the application has a bug. Credentials you give us for other services — SmartBuild logins, mailbox passwords, QuickBooks tokens — are encrypted before they are stored and are only ever decrypted on the server to talk to that service. Photos are held in private storage and served through short-lived links.

How long it's kept

We keep your account data for as long as you have an account. If you cancel, tell us and we will delete your data within 30 days, except anything we're required to keep for tax or accounting purposes. You can export your records at any time while the account is open.

Your choices

You can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Email contact@smartbarnos.com and we'll respond within 30 days. If one of your customers asks you to remove their details, you can delete them yourself, or ask us and we'll help.

Changes

If we change this policy in a way that matters, we'll email account owners before it takes effect. The date at the top always reflects the current version.
